1. Introduction
This Privacy Policy explains how Routex ("we," "our," or "us") collects, uses, stores, and protects information when you use the Routex mobile application ("App"). Routex is a route optimization and fleet management platform designed for logistics companies, delivery businesses, and their drivers.
By using the App, you agree to the collection and use of information as described in this Policy. If you do not agree, please do not use the App.

3. Information We Collect
We collect the following categories of information:
3.1 Information You Provide
- Account Information: When an organisation registers, we collect the company name, administrator email address, phone number, and business address.
- Driver Profile: When an administrator creates a driver account, we collect the driver's name, email address, phone number, and driver's licence number and expiry date.
- Vehicle Information: Licence plate number, vehicle make, model, year, type, and colour.
- Route Data: Stop addresses, delivery notes, and route names that you enter when planning routes.
- Proof of Delivery: Recipient name, delivery notes, recipient signature (captured as an image), and package photographs taken at the point of delivery.
3.2 Information Collected Automatically
- Precise GPS Location: When the driver app is in use, we collect the device's GPS coordinates to (a) automatically detect arrival at a stop when the driver is within range, and (b) record the GPS coordinates at the moment of arrival and delivery completion as part of the proof of delivery record. Location is only collected while the driver is actively using the App and is not tracked in the background.
- Timestamps: Date and time of arrival at each stop and completion of each delivery, captured automatically.
- Device Information: Device operating system and version, collected for technical support and compatibility purposes.
3.3 Camera and Photos
We request access to your device's camera exclusively to allow drivers to photograph packages or delivery evidence as part of the proof of delivery workflow. Photos are taken only when a driver explicitly taps the "Open Camera" button on the Proof of Delivery screen. We do not access the camera at any other time, and we do not access your device's existing photo library.
4. How We Use Your Information
We use the information we collect for the following purposes:
4.1 Core App Functionality
- Authenticating administrators and drivers and maintaining secure sessions.
- Optimising driving routes using the Google Maps Routes API based on addresses you provide.
- Displaying assigned routes to drivers and enabling step-by-step stop execution.
- Recording proof of delivery, including GPS coordinates, timestamps, signatures, and photographs, so that administrators can verify deliveries were completed.
- Automatically detecting driver arrival at a stop using GPS proximity.
- Managing driver and vehicle records within your organisation's account.
4.2 Communications
- Sending service-related notifications (e.g., route assignments).
- Responding to support requests and enquiries.
4.3 Security and Legal Compliance
- Preventing fraud and unauthorised access.
- Complying with applicable laws and responding to lawful requests from authorities.
5. Permissions We Request and Why
The following permissions are requested by the App. Each permission is directly tied to a specific feature:
- CAMERA (android.permission.CAMERA): Used exclusively to allow drivers to photograph packages or delivery locations as proof of delivery. The camera is activated only when the driver taps "Open Camera" on the Proof of Delivery screen. The App does not use the camera for any other purpose and does not record video.
- ACCESS_FINE_LOCATION / ACCESS_COARSE_LOCATION: Used to obtain the device's GPS coordinates in two scenarios: (1) to automatically detect when a driver is near a stop and prompt them to mark arrival, and (2) to attach GPS coordinates to proof of delivery records for verification. Location is collected only while the App is in the foreground and actively in use.
- INTERNET: Required to communicate with the Routex backend server for route data, authentication, and syncing proof of delivery records.
- ACCESS_NETWORK_STATE: Used to check network connectivity before attempting to sync data, to provide meaningful offline error messages.
6. How We Share Your Information
We do not sell personal data. We share information only in the following limited circumstances:
6.1 Third-Party Service Providers
- Google Maps Platform (Routes API and Places API): Delivery addresses and stop coordinates are sent to Google's Routes API to calculate optimised driving routes, and to the Places Autocomplete API to suggest addresses as you type. Google's use of this data is governed by the Google Maps Platform Terms of Service and Google's Privacy Policy.
- Anthropic Claude API: A summary of your planned route (stop names, estimated times, total distance) is sent to Anthropic's API to generate a plain-language route briefing. No personal identity data is included in this summary. Anthropic's use of this data is governed by their API Terms of Service and Privacy Policy.
- MongoDB Atlas (Cloud Database): Your account data, route records, and proof of delivery data are stored in a MongoDB Atlas database. MongoDB acts as a data processor on our behalf and does not use your data for its own purposes.
6.2 Within Your Organisation
Proof of delivery records (including GPS location, timestamp, signature, and photo) are visible to the administrator account of the organisation that assigned the route. Drivers can only see their own assigned routes.
6.3 Legal Requirements
We may disclose information if required by law, court order, or governmental authority, or where we believe disclosure is necessary to protect the rights, property, or safety of Routex, our users, or the public.
7. Data Retention
We retain your data for as long as your account is active or as needed to provide the service. Proof of delivery records (GPS coordinates, timestamps, signatures, and photos) are retained for a minimum of 12 months to support dispute resolution and compliance audits, after which they are deleted or anonymised unless a longer retention period is required by law.
Route planning data (addresses, stop lists) that has not been saved is not retained beyond the current session.
8. Account Deletion
You have the right to request deletion of your account and associated personal data. To request account deletion, you can:
- Submit a deletion request by email to: privacy@routex.app
- Use the in-app account deletion option in Settings > Account > Delete Account (where available).
Upon receiving a valid deletion request, we will delete or anonymise your personal data within 30 days, except where retention is required by applicable law (e.g., financial records). Proof of delivery records may be retained in anonymised form for audit purposes.
9. Data Security
- All data transmitted between the App and our servers is encrypted using HTTPS/TLS.
- Passwords and authentication tokens are stored using industry-standard hashing and are never stored in plain text.
- Access to data is restricted to authorised personnel and is scoped by organisation (entity) so that one organisation cannot access another's data.
- Proof of delivery records containing signatures and photographs are stored securely in our database with access controls.
No method of electronic transmission or storage is 100% secure. While we strive to use commercially acceptable means to protect your information, we cannot guarantee absolute security.
10. Children's Privacy
Routex is a professional logistics tool intended for use by businesses and their employees. The App is not directed at children under the age of 13 (or 16 in the European Economic Area), and we do not knowingly collect personal data from children. If you believe a child has provided us with personal information, please contact us at privacy@routex.app and we will promptly delete it.
11. International Data Transfers
Your data may be stored and processed in any country where we or our service providers operate. If you are located in the European Economic Area (EEA) or United Kingdom, your data may be transferred to countries that may not provide the same level of data protection as your home country. Where required, we rely on standard contractual clauses approved by the European Commission to safeguard such transfers.
12. Your Privacy Rights
- Access: Request a copy of the personal data we hold about you.
- Correction: Request correction of inaccurate or incomplete data.
- Deletion: Request deletion of your personal data (see Section 8).
- Portability: Request your data in a structured, machine-readable format.
- Objection: Object to or restrict certain processing of your data.
- Withdraw Consent: Where processing is based on consent, withdraw it at any time without affecting prior processing.

13. Third-Party Services and Links
The App integrates with third-party services (Google Maps, Anthropic) as described in Section 6. This Privacy Policy applies only to data processed by Routex. We encourage you to review the privacy policies of any third-party services you interact with through the App.
14. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. When we do, we will revise the Effective Date at the top of this document. For significant changes, we will notify users via in-app notification or email. Your continued use of the App after changes are posted constitutes your acceptance of the revised Policy.
